EMC Event booking and cancellation Policy

Online booking

By completing an online event booking you are indicating you wish to attend an East Midlands Councils (EMC) training, event, or webinar.

An email will be received immediately to confirm your booking.  If you do not receive one, please contact info@emcouncils.gov.uk.

Joining Instructions will be sent out no later than 5 working days prior to the event and will include relevant papers, how to access the virtual workshop or directions for getting to the venue.

By registering your place, you are agreeing to the terms and conditions of attending the event. This will include your consent where necessary for the retention of your personal data. Upon successful registration and payment (where required) joining instructions will be circulated no later than 5 working days prior to the scheduled date.

Your Personal Information

For all events it is necessary for EMC to collect certain personal data which is held in compliance with the UK General Data Protection Regulation (UK GDPR), tailored by the Data Protection Act 2018.

  • Virtual Events – EMC is required to obtain the minimum personal data deemed acceptable for you to attend, this will normally comprise of; first and last name, email address, contact number, job title and your employer/organisations details. We collect this information to ensure event communication can be circulated and post event follow-up undertaken.
  • Physical/In person Events – As above with the addition of individual dietary requirements.

Cancellation

To minimise wasted costs and booked places not being taken, our courses and events are subject to a cancellation policy as laid out below.

All requests to cancel your place must be made in writing via email to info@emcouncils.gov.uk. 

All cancellations made after the closing date will be charged at the full rate, even if a purchase order number has not been provided.

Should you have to cancel after the closing date, you can avoid this cancellation fee by substituting someone to attend in your place.

Substitutions can be made at any time at no extra charge and should be notified by e-mail prior to the event.

For events/webinars which are free to attend, a cancellation fee of £50 + VAT will be charged if cancelled after the closing date and a substitute cannot be found.

Membership rates

EMC events are available to all EMC members at a discounted rate.

All Local Authorities in the East Midlands are members of East Midlands Councils. More information can be found here: EMC Membership.

Our cost rates are split into the following categories:

  • Members
  • Associate Members
  • Non-Members

For Migration Training, identified partner VCSE organisations SMP_VCSE Partners Feb.24 have access to EMCs free training sessions and for paid sessions are subject to the EMC members discounted rate.

Purchase order numbers

Please ensure that you provide a purchase order number, either at the time of booking the place or shortly afterwards (if applicable).

Event Changes

Occasionally it may be necessary to alter the contents and timing of the programme or the identity of the speakers. In the unlikely event of an event being cancelled due to low numbers or events outside of our control, including adverse weather conditions, flooding or industrial action EMC shall not be liable for any compensation.
